You just need a one-to-two-page project docket that answers nine essential questions.
This is the simplest and most effective template to ensure everyone on your team knows what’s happening, why it matters, and how success will be measured.
The trap of perfection
Too many entrepreneurs spend endless hours tweaking, polishing, and overanalyzing before launching.
They convince themselves they’re “just making it better,” when in reality, they’re stalling.

Essential elements of a project docket
The entire goal is for anyone, even someone new to the project, to scan and understand the key details in just a few minutes.
That means you need to be disciplined about what you include and what you leave out.
Define the goal
01 - What are we doing? (the project)
Define the project in plain language. One or two sentences at most. Be specific and simple.
Example: “Launching a referral program pilot to get existing customers to bring in new ones.”
02 - Why does it matter? (the connection to goals/problem)
Connect the project to a core business goal or a problem that needs solving. This ensures the team understands why this project exists.
Example: “Our goal is to reduce acquisition costs. The problem is our current channels have us over target, so we’re testing a new one.”
03 - What does success look like? (KPIs & measurement)
Define success clearly and measurably. What needs to happen for someone to say, “This went really well”?
Set one main KPI, describe the before and after, and mention the data source you’ll use.
The execution plan
04 - Deliverables
Outline the main components of the plan. Your point A to point B. Keep it short and actionable.
Example: “Research piece, landing page, email campaign.”
Pro Tip: Add a simple table of In-Scope vs Out-of-Scope items. It helps avoid confusion and manage expectations.
05 - Requirements
List what you need to make this project happen: tools, people, or external dependencies.
Examples: “Legal approval, or a product feature that has to go live.”
06 - Risks
Flag potential challenges upfront. It’s always better to plan for roadblocks before they derail progress.
07 - People
Name the key people involved and briefly explain their responsibilities. This prevents ownership confusion later.
08 - Budget & timeline
Summarize the core financial and scheduling details. It doesn’t have to be a detailed spreadsheet. Just the essentials for decision-making and accountability.
Progress
09 - Latest update line
Keep one line at the top of your document that captures the current status. As the project evolves, this quick snapshot helps everyone know exactly where things stand.

The best projects aren’t managed through complex dashboards. They’re managed through clarity, communication, and consistency.
